Job Description

Our client, a multinational law firm, is seeking a Temp Travel and Events Coordinator to support their team! 
  • Assist in research, planning, and coordination of client events and firm meetings guided by firm objectives and priorities.
  • Develop positive relationships with internal and external clients and vendors.
  • Maintain records and resources for event planning.
  • Collaborate with all levels of personnel on client events, office, department, and firm meetings and events.
  • Ensure client service and satisfaction are achieved in all areas of responsibility.

Essential Functions: Client Events & Firmwide Meetings Coordination
  • Work closely with Senior Manager of Travel & Events and Events Team for effective, professional, and cost-effective planning.
  • Coordinate program registration for seamless processes.
  • Ensure program and event materials follow Firm standards.
  • Provide in-person support for meetings and events.
  • Research meeting & event locations, providing detailed information.
  • Maintain organized records of all events for tracking and resource information.
  • Review hotel/event contracts to meet firm standards.
  • Assist in creating campaigns in Salesforce.
  • Update Salesforce with new contact information.
  • Help draft internal follow-up communications.
  • Assist in creating communications plan for events.
  • Create run of show for events and provide day-of event support.

Vendor Relationships
  • Promote Firm's Client Service Principles in teamwork and interactions.
  • Develop strong relationships with vendors for detailed event coordination.
  • Work closely with internal clients throughout event lifecycles.
  • Keep parties informed with relevant details.
  • Stay updated on industry trends.
  • Utilize relevant technology for teamwork and efficiency.

Client Service, Confidentiality, and Safety
  • Promote Firm's Client Service Principles consistently.
  • Provide exemplary client service to internal and external clients.
  • Ensure compliance with Information Handling Policy.
  • Adhere to General Safety Practices.

Other Duties
  • Perform other assigned duties as needed.
