Job Responsibilities

Law Student Hiring:
  • Prepare and distribute interview materials.
  • Organize and maintain candidate information and electronic recruitment files.
  • Manage data entry in Applicant Tracking System.
  • Send candidate communications including callback invitations and rejection notifications; update and maintain candidate tracking reports.
  • Assist with confirming interview logistics (in-person and virtual) to ensure seamless virtual or in person candidate experience.  This includes but is not limited to booking conference rooms, ordering food/beverages, coordinating technology needs, and adding interview details to the shared calendar.
  • Assist with preparing interview materials, greeting candidates, and monitoring interview logistics.
  • Assist with monitoring candidate evaluations, sending follow-up reminders and ensure complete candidate evaluation summaries.
  • Assist with preparing offer decision meeting packets and maintaining candidate tracking reports.
  • Make reservations and arrangements for supplemental recruitment receptions and other follow-up events.
  • Assist with coordinating travel logistics for candidates.

Summer Associate Program:
  • Prepare and maintain summer associate employment files.
  • Schedule orientation sessions and ensure seamless day of execution; prepare orientation materials.
  • Prepare evaluation materials for mid-summer/end of summer reviews; Monitor evaluation completion and send regular reminder emails.
  • Book conference rooms and managing catering services for internal training and other programing.
  • Assist with the planning and execution of social events, including tracking participation and attending events, as needed.
  • Assist with day of logistics for virtual and in-person summer programing.
  • Maintain calendar for summer associates, recruiting team and lawyers involved in the summer associate program.
  • Process and track all summer associate related expenses.

Lateral Hiring:
  • Enter and maintain candidate submissions and related information into the applicant tracking database.
  • Organize and maintain lateral candidate files and associated data tracking.
  • Assist with coordinating lateral interview schedules.
  • Organize and maintain lateral candidate files.
  • Solicit evaluations from attorney interviewers, send follow-up emails and ensure complete evaluation summaries.
  • Prepare offer packets and update lateral candidate reports.
  • Schedule orientation sessions, send calendar appointments to facilitators for new lateral hires, and prepare new hire orientation packets.

General Duties:
  • Maintain paper and electronic records for the department.
  • Process check requests, invoices, reimbursements and expense reports.
  • Assist with preparation of statistical reports and presentations as directed.
  • Coordinate logistics for department meetings.
  • Create and maintain positive relationships with personnel in professional services departments including Human Resources, Accounting/Finance, Professional Development, Diversity & Inclusion, Operations, Technology, Research Services, and Legal Support.
  • Other duties as assigned.

  • Demonstrated advanced knowledge of MS suite to produce quality written communications such as memos, spreadsheets, slides, and standard work documents.
  • Demonstrated ability to communicate clearly, both orally and in writing with attorneys, staff, vendors, and the public.
  • Demonstrated ability to provide quality client service to both internal and external contacts, regarding non-legal matters of a routine nature. Requires patience, creativity and discretion.
  • Ability to handle highly sensitive information with confidentiality and discretion.
  • Ability to work overtime as necessary.

Education

The position requires a Bachelor’s Degree.
