Our client, a multinational law firm, is seeking an E-Billing Coordinator to support their team!  Essential Functions Client Service
  • Consistently exemplify and promote the Firm’s Client Service Principles in teamwork, work output, and personal interactions.
  • Ensure exceptional service to all internal and external clients, proactively fostering a client service mindset throughout the department and among teams.
  • Respond to peer requests with an understanding that each request serves a client or Firm need.
E-Billing Process and Maintenance
  • Direct and oversee electronic billing processes and requirements, acting as the liaison among clients, billing attorneys, staff, billers, CAMs, and third-party vendors.
  • Facilitate communication to ensure the timely and accurate implementation and ongoing functionality of electronic billing for the Firm’s clients.
  • Ensure compliance with the Firm’s billing policies and procedures.

Data Coordination:
  • Oversee the setup and ongoing maintenance of e-billing matters, including timekeeper and billing rate setup and approval on both the vendor site and the Firm’s billing system.
  • Assist billing attorneys and their CAMs in creating and maintaining matter budgets, plans, or status reports.
  • Manage the annual rate change process between the Firm, vendor, and client.
  • Assist billers and CAMs in resolving e-billing issues such as missing or unapproved timekeepers, incorrect rates, and missing claim or matter information.
  • Process e-billing documentation according to attorney instructions and department procedures, ensuring effective and detailed information flow within the department and to internal and external clients.
  • Review e-billing documents and client/matter master files for special billing needs, obtaining necessary documentation as required.
  • Collaborate with internal clients to define and meet special billing needs.
  • Verify the accuracy of e-bill components such as rates, discounts, and addresses, identifying discrepancies and gathering necessary resources to complete the process.
  • Review final bills to ensure data integrity, working proactively with billers to process and transmit error-free e-bills.
  • Provide research assistance to resolve e-billing discrepancies and issues, sourcing data and information from other resources as needed.
  • Design and maintain reports for e-billing analysis, administering other application tools as necessary.
  • Assist billers, CAMs, and accounting staff with e-billing concerns, recommending appropriate solutions, and responding promptly to inquiries.

Support Functions:
  • Timenotes support: Assist in managing the Timenote Notice Inbox, ensuring accurate handling of all requests.
  • Fall-Out management support: Clear and correct time in fall-out matters as needed.
  • Assist with month-end closing, ensuring fall-out matters are cleared, Intapp Time is disabled, and running reports on Elite Values. May also help maintain restricted text and rules.
  • Coordinate and prepare special e-billing projects as needed.
Billing and Collection Support
  • Participate in department and group meetings to stay current on policies and procedures.
  • Provide backup assistance for Master Files, Billing, and Collections as needed.
  • Assist with special projects and other duties assigned by the Manager.
Professional Development
  • Stay updated on industry trends in Accounting & Finance and the legal profession.
  • Ensure proficiency in relevant technology, using the most current tools to enhance teamwork, client service, and efficiency.
  • Participate in projects that enhance the value of services provided to clients, attorneys, timekeepers, and the Firm.

QUALIFICATIONS

Education and Experience
  1. Elite and 3E experience strongly preferred.  Minimum two years Billing and Collection experience. Experience with vendor e-billing systems ( i.e., Tymetrix, Legal Tracker, DataCert) preferred.
  2. E-Billing HUB certification preferred
  3. Intermediate Excel skills required. 
  4. Law Firm or professional services background with international exposure preferred
