Job Description
- Working with the Payroll Associate, process semi-monthly payroll in an accurate and timely manner
- Maintain accurate physical and digital records for all relevant data
- Maintain, collect, and process payroll-related information, including invoices for Payroll, Fringe Benefits, and Retirement Plans, ensuring accurate record-keeping
- Calculate employee deferral and company contributions towards the 403b retirement plan monthly; Prepare contribution reports and submit them to Voya Financial
- Journalize monthly insurance bills and payroll entries
- Prepare monthly employee cost reports and benefit allocations reports, with additional reporting for senior staff as needed
- Conduct withholding and bank accounts reconciliation regularly
- Oversee COBRA accounts and monitor monthly payments, ensuring compliance with regulations and timely processing of payments
- Administer pensions for retirees, maintaining tax documents, monitoring COLA (Cost-of-Living Adjustment) increases, and reconciling between the bank's check register and the master file
- Manage the Payroll Associate
- Manage and guarantee the semi-monthly disbursement of multi-state payroll accurately and on time
- Update employee records for benefits eligibility, insurance coverage, exemptions, changes in role/department, promotions, and retirement plan deductions
- Resolve any payroll discrepancies and ensure all payroll accounts are properly balanced
- Reconcile payroll liability to ensure compliance with applicable laws and regulations
- Work closely with the HR and benefits team to manage relevant management reports, including vacation accrual, tax deductions, benefit deductions, and other payroll-related data
- Stay updated on federal, state, and local payroll laws, regulations, and best practices to ensure compliance and accuracy
- Provide exceptional customer service to employees by promptly addressing their payroll-related inquiries and concerns
- Maintain privileged employee information and ensure compliance with data protection regulations
- Manage ad-hoc projects (e.g. Success Factors and ADP Integration)
- Familiarize yourself with JDC’s global mission and work
- Such other duties as may be assigned from time to time
- Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience)
- Experience as a Payroll Manager or in a similar role, managing multi-state payroll
- Experience opening new states for payroll
- Strong understanding of federal, state, and local payroll laws, regulations, and compliance requirements
- Proficient in using ADP Workforce Now’s payroll processing, reports, and GL interface functions
- Proficiency in Excel at an intermediate level or higher
- Exceptional attention to detail and accuracy in data entry and calculations
- Strong analytical and problem-solving skills to identify and resolve payroll discrepancies, improve processes, and evaluate data
- Excellent project management, organizational, and time management skills
- Ability to handle privileged information with integrity and discretion
- Effective communication skills and customer orientation, ability to work well with people at all levels of the organization
- Strong teamworking skills to work closely with HR, Finance, and other departments
- Big-picture thinking, ability to quickly learn and grasp new information

- Ability to read words and numbers, operate a computer keyboard and other office equipment, and communicate in person or over the telephone
