Role Overview
The Office Services Clerk will manage essential administrative and clerical tasks, ensuring seamless office functionality, supporting mailroom and reception duties, maintaining office supplies and equipment, and fostering a welcoming environment for visitors and staff. This position supports the overall smooth operation of a busy legal office environment, emphasizing confidentiality, organization, and excellent service.
Key Responsibilities
- Receive, sort, and distribute all incoming mail, packages, and deliveries, ensuring timely and accurate handling
- Maintain and order office supplies, equipment, and stationery to support daily operations
- Greet and assist visitors and clients professionally, providing excellent customer service at the reception desk
- Support photocopying, scanning, and document preparation tasks, ensuring accuracy and confidentiality
- Manage conference room setups and assist with small event logistics as needed
- Operate and maintain office equipment such as fax machines, printers, and copiers
- Support administrative functions, including filing, data entry, and document organization in compliance with confidentiality standards
- Collaborate with team members to improve office workflows and logistics
- Assist with adhoc office projects and special assignments to ensure operational effectiveness
Core Qualifications & Requirements
- High school diploma or equivalent; additional education (Associate’s or Bachelor's degree in Office Administration, Business, or related field) preferred
- 1-2 years of relevant administrative or mailroom experience, ideally within legal, professional services, or corporate environments
- Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel
- Strong organizational and time-management skills with excellent attention to detail
- Ability to multitask efficiently and work effectively under pressure
- Excellent verbal and written communication skills
- Knowledge of general office operations and equipment (copiers, fax machines, scanners)
- Ability to handle sensitive and confidential information with discretion
- Flexibility to adapt to a dynamic work environment and assist with occasional event setups
