Job Description
This role will oversee operational functions, facilities management, headcount and staff compensation reporting, creating and tracking the Florida budgets, and other administrative tasks!
Responsibilities and Essential Job Functions
- Support staff recruiting, interviewing, orientation, training, annual evaluations, disciplinary actions, termination process, liaison for staff and attorney communications and promote staff morale
- Prepare annual budgets, monthly variance reports, monitor expenses to assure budget is on target, maintain Trust Accounting safeguarding against Bar violations, prepare real estate closing disbursements, trust and operating account reconciliations, review Account Payables for accuracy, oversee Billing and Cash Application
- Manage leases, physical facilities, utilities, artwork, equipment and furniture for maintenance and repair; facilitate inner-office moves, space efficiency, design, capital purchases, equipment leasing and oversight of building maintenance
- Manage administrative staff; manage Senior LAN Administrator and Records Assistant in partnership with Connecticut team
- Provide support regarding staff, Attorney, client, vendor and Office Administrator inquiries; assist in public relations, civic activities and practice development opportunities.
- Work with staff when unethical behavior is identified to mitigate potential exposure
- Facilitate activities (i.e., Professional Advisors’ receptions, client seminars, Attorney dinners, Attorney retreats, seasonal celebrations and other ceremonious events as needed
- Special Projects including potential office moves, office opening and office closing
- Degree in business administration preferred
- Proficiency in Microsoft Office, Excel, Outlook and iManage (preferred, but will train)
- Accounting experience
