Job Description

Payroll Oversight:
Manage accurate and timely processing of semi-monthly payrolls across multiple U.S. locations for legal and non-legal staff, as well as monthly and supplemental payrolls for partners.

Compliance & Accuracy:
Ensure payroll compliance with all federal, state, and local laws. Review and approve payroll data, garnishments, and wire transfers. Maintain confidentiality and accuracy of payroll records.

Reporting & Audits:
Generate regular and ad-hoc payroll reports. Support internal and external audits, including those related to payroll, workers' compensation, and 401k plans. Prepare year-end documents such as W-2s.

Data Management:
Maintain employee payroll records, including new hires, terminations, promotions, salary changes, and Visa status updates. Handle coding and data input for payroll systems.

System Coordination & Upgrades:
Coordinate payroll system enhancements (e.g., ADP, 401k system implementations). Prepare and upload payroll-related general ledger files, and support Finance with budget reporting and reconciliations.

Regulatory Compliance:
Stay updated on labor laws and tax regulations. Update procedures accordingly, such as changes to 401k goals or Paid Family Leave tables. Ensure required reports (e.g., California Paydata, DOL filings) are submitted on time.

Team Leadership:
Train, supervise, and evaluate payroll team members. Oversee staffing and manage team workload. Lead payroll-related projects and system transitions.

Communication & Support:
Act as the main point of contact for payroll inquiries. Liaise with ADP and other external vendors. Respond to employee questions and process special pay requests.

Recordkeeping & Documentation:
Maintain document compliance in DeskSite, including filing and regular clean-up of outdated records. Ensure all documentation meets retention and audit standards.

Miscellaneous Duties:
Handle other responsibilities as assigned to support payroll operations and organizational goals.

Technical Proficiency:
Extensive experience with ADP Workforce Now, including payroll processing and reporting features. Skilled in Microsoft Excel, Word, and Outlook.

Analytical & Communication Skills:
Strong ability to analyze data, stay organized, and communicate effectively across teams.

Work Style:
Capable of working independently, managing multiple priorities, and thriving in a fast-paced, deadline-driven environment.

Bonus Software Experience:
Familiarity with tools like Chrome River (invoice management), iManage DeskSite (document management), and 3E General Ledger is a plus.
Education & Professional Background:

Educational Requirement:
Bachelor’s degree in Accounting, Finance, or a related discipline.

Experience Level:
8–10+ years in payroll, with a minimum of 5 years in a leadership or supervisory role.

Specialized Knowledge:
Deep understanding of payroll tax regulations and compliance. Experience in law firms or professional service industries is preferred.

Certifications:
Certified Payroll Professional (CPP) certification is a strong advantage.
