Job Description
- Client Relationship Management: Professionally manages relationships with external clients.
- Document Preparation: Creates, edits, and proofreads complex, practice-specific legal documents, forms, and correspondence, ensuring accuracy and completeness.
- Audit Responses: Works with Paralegals to prepare or coordinate the preparation of Responses to Auditor Requests and assists with the preparation of Opinion Letters.
- Record Keeping: Maintains client/matter lists and communication lists; organizes and accurately maintains physical and electronic documents and files in a timely manner. Creates and maintains working files and binders as requested.
- Software Utilization: Uses firm-provided software to store email messages accurately, maintain and retrieve files, schedule appointments, and calendar dates using Outlook, and maintain contacts in Outlook.
- Timenote Entry: Assists with timenote entry, including inputting, editing, proofreading, and closing timenotes daily.
- Legal Research: Demonstrates knowledge of internet resources to perform basic legal research and print cases as requested.
- Matter Management: Utilizes Ework software to open new matters, prepare engagement letters, and process conflict reports.
- Billing Management: Collaborates with Client Account Manager and assigned timekeepers to manage the billing process, including editing prebills, generating reports, and sending out final invoices. May assist with collection efforts and coordinate client, matter, and timekeeper inquiries.
- Client File Management: Initiates client file transfer requests and assists with client disengagements. May facilitate the secure transfer of case/client data according to the firm’s data security policy.
- Support and Teamwork: Provides backup support to other attorneys and timekeepers as needed, volunteers for overflow work assignments, maximizes productivity, promotes teamwork, and participates in departmental projects to streamline workflow or resolve issues.
- Mentorship and Training: Acts as a proactive mentor for junior staff and new employees and assists with training on specific firm processes and procedures as requested.
- CD/DVD Management: Creates and labels CDs/DVDs, and understands the firm’s privacy policy and encryption tools.
Education and Experience
- High School Diploma required, Associate Degree preferred.
- Minimum of 2 to 3 years of litigation recent Legal Secretarial experience, and/or 3 years of Administrative Secretary experience.
- Experience working in a large law firm preferred.
