Job Description
- Prepare, edit, and format legal documents, correspondence, and memoranda for transactional clients while ensuring compliance with Firm standards.
- Manage calendars, coordinate communications, and support lawyers in contract negotiations, mergers, and acquisitions.
- Review and format legal documents, including pleadings, briefs, and motions, for accuracy and compliance with court requirements.
- Assist attorneys throughout all trial stages, including pre-trial, trial, and post-trial activities.
- Support fellow secretaries as needed, prioritizing tasks efficiently to meet Firm and client needs.
- Oversee multiple lawyer assignments, managing clerical tasks and workflow to support administrative and client objectives.
- Handle client onboarding, processing conflicts, and assigning billing details in collaboration with Firm departments.
- Enter, proofread, and submit lawyers' time entries while ensuring adherence to billing requirements and Firm policies.
- Arrange and manage travel logistics for lawyers and clients, including transportation, lodging, and expense processing.
- Proofread all documents for accuracy in grammar, punctuation, syntax, and formatting.
- Screen and manage phone calls, conference calls, and messages, utilizing audio and video software for scheduling.
- Process and distribute incoming and outgoing mail in a timely manner.
- Coordinate and schedule meetings, conferences, and appointments, arranging rooms and catering as needed.
- High school diploma or GED equivalent.
- At least five years of relevant work experience and/or training, or an equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite, legal terminology, and standard document formatting.
- Ability to type accurately at a minimum speed of 60 words per minute.
- Strong understanding of civil litigation discovery and docketing procedures.
- Experience with State and Federal court filings, including Electronic Case Filing (ECF).
- Proven ability to collaborate effectively with support staff.
