Job Description
Position Overview
We're looking for an experienced administrative professional to support a specialized legal team. The role involves a mix of client-facing communication, document preparation, scheduling, and general administrative duties. This is an in-office position with occasional overtime needs.
Key Duties

Manage a significant number of incoming email communications

Liaise with clients regarding scheduling, document signings, and meeting logistics

Prepare presentation materials and client binders
- Draft and proofread correspondence and legal documents
- Track time entries accurately on a daily basis
- Trust and Estates experience is a plus

Monitor and maintain scheduling systems

Assist with monthly invoice preparation

Oversee or contribute to assigned internal projects

Maintain updated records of professional contacts

Flexibility to work extended hours as needed

Collaborate with support team members for office operations
Requirements
-
High school diploma or GED required

Experience in a trust and estate legal setting beneficial

Familiarity with MS Office Suite, email clients, PDF editors, and legal time-tracking software preferred

Demonstrated ability to maintain confidentiality

High level of detail orientation

Self-motivated and capable of handling pressure and deadlines

Strong verbal and written communication skills

Excellent multitasking and prioritization abilities
Compensation & Benefits

Annual salary range: $55k–$70k, dependent on background and skill level

Eligible for overtime pay; 35-hour standard work week

Paid leave of up to 25 days per year
