Role Overview
A well-established law firm or professional services organization is seeking a detail-oriented Human Resources Coordinator to oversee attorney onboarding, offboarding, personnel data management, and HR compliance initiatives. This role drives operational efficiency and ensures seamless legal personnel administration, contributing directly to the firm’s HR and talent management success.
Key Responsibilities
- Serve as the primary contact for attorney onboarding, offboarding, and personnel data updates, coordinating logistics and collaborating with internal administrative and legal teams for smooth transitions.
- Maintain and distribute weekly attorney status reports; partner with benefits and HR teams to track leave, FMLA, and other attorney leave activities.
- Process attorney employment transactions using HR Information Systems (HRIS), preferably Workday, including new hire setups, departures, FTE adjustments, and personnel data updates while ensuring accuracy and compliance.
- Manage and organize attorney personnel files within document management platforms such as iManage, preserving confidentiality and data integrity.
- Administer firm-wide legal personnel communications through team mailboxes, responding to inquiries and routing requests efficiently.
- Oversee Form I-9 compliance by conducting regular audits to verify documentation adherence and legal requirements.
- Support attorney part-time and flexible work arrangements in accordance with firm policies.
- Coordinate participation in attorney surveys, including Vault and Midlevel Associate surveys, collecting and submitting data timely.
- Assist in planning and executing attorney development programs, including fall associate orientation and events logistics.
- Aid the Senior Legal Personnel Manager with year-end attorney compensation, bonus processing, and related HR initiatives.
- Contribute to ongoing legal personnel and talent management projects, ensuring process improvements and compliance.
Core Qualifications & Requirements
- Minimum of 2 years of experience in Human Resources, Legal Personnel, Talent Management, or HR Operations within law firms or professional services organizations.
- Proven experience with legal HR workflows, onboarding, offboarding, data entry, compliance audits, and personnel record management.
- Hands-on proficiency with HRIS platforms, preferably Workday.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced legal environment.
- Exceptional attention to detail, accuracy, and confidentiality in handling sensitive legal personnel data.
- Excellent written and verbal communication skills; proactive and collaborative approach.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and PDF management tools like Adobe Acrobat.
- Flexibility to work additional hours based on business needs.
Nice-to-Have Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field.
- Experience with document management platforms such as iManage.
- Prior support roles within law firm HR or legal personnel teams.
- Demonstrated interest in legal industry and attorney workforce management.
