Job Description

Our client, a global law firm, is seeking a Legal Executive Assistant to join their team in Los Angeles, CA! 


Key Responsibilities:

  • Calendar & Scheduling: Manage complex calendars across time zones, coordinate internal/external meetings, events, and deadlines.

  • Travel Support: Plan and manage all aspects of attorney travel, leveraging firm resources and aligning with client priorities.

  • Client & Team Liaison: Communicate with clients, internal teams, and vendors with professionalism and discretion.

  • Meeting Prep: Organize agendas, materials, due diligence, and follow-ups to ensure attorney readiness.

  • Legal Support: Draft and prepare legal documents, exhibits, binders, pleadings, and correspondence.

  • Matter Management: Open new matters, track status, and maintain documentation.

  • Document & File Management: Maintain both paper and electronic files, including client minute books and estate account records.

  • Court Filings & Depositions (Litigation): Handle e-filings in federal and state courts, coordinate depositions, and manage transcripts.

  • Corporate Tasks: File formation documents, perform research, and request certified or UCC documents from relevant authorities.

  • Expense & Timekeeping: Process attorney expenses and timesheets promptly and accurately.

  • Onsite Support: Greet clients, manage physical files, and operate standard office equipment as needed.

Requirements:

  • Education: 2+ years college or equivalent experience (Bachelor’s preferred).

  • Experience: 5+ years in high-level administrative support, ideally in legal or professional services; strong litigation experience required.
     

  • Skills:

    • Expert in Microsoft Office, Outlook, Zoom, and Teams.

    • Exceptional organizational, communication, and time management skills.

    • Ability to manage multiple priorities, maintain discretion, and work independently.

    • Strong judgment, initiative, and problem-solving ability.

    • Project management skills a plus.
