Role Overview
The Legal Assistant will provide comprehensive administrative support to attorneys specializing in Construction Litigation, ensuring efficient case management, compliance with court procedures, and effective communication with clients and internal teams. This position plays a crucial role in maintaining the firm's high standards of legal operations and client service.

Key Responsibilities
  • Draft, proofread, and edit legal correspondence, memoranda, and court documents with a high degree of accuracy using advanced document preparation software (e.g., Microsoft Word, Adobe Acrobat).
  • Manage electronic filing, document storage, retrieval, and organization via the firm’s document management system (e.g., iManage).
  • Coordinate and schedule court filings, deadline reminders, attorney meetings, and client appointments utilizing Outlook or similar calendar management tools.
  • Prepare and submit electronic filings to courts; ensure compliance with filing protocols and deadlines.
  • Open and maintain client and matter files, including conflict of interest checks, document review, and archival processes.
  • Handle client inquiries professionally and respond promptly to requests for case updates and information.
  • Process billing procedures, including drafting, reviewing, and editing invoices and billing sheets within legal accounting and billing systems (e.g., Elite or similar platforms).
  • Record and track billable time accurately and efficiently into the firm’s legal billing system.
  • Support team coverage by assisting other legal administrative staff as needed, fostering effective team collaboration.
  • Perform related administrative duties such as proofreading legal documents, managing incoming/outgoing mail, and maintaining filing systems to support legal operations.

Core Qualifications & Requirements
  • 3 to 5 years of legal administrative experience supporting Construction Litigation cases.
  • Strong knowledge of construction litigation processes, legal deadlines, court procedures, and rules.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and familiarity with document management systems (iManage) and legal billing platforms (Elite preferred).
  • Exceptional written and verbal communication skills with keen attention to detail.
  • Ability to transcribe legal documents and correspondence accurately at a minimum of 60 words per minute.
  • Excellent organizational skills, with the ability to prioritize multiple tasks and meet strict deadlines.
  • Strong interpersonal skills, enabling effective communication with diverse clients, attorneys, and staff.
  • Ability to work independently and collaboratively in a high-pressure environment.
  • Physical ability to perform job duties including sitting for extended periods, walking, standing, lifting, and reaching, with reasonable accommodations if required.

Nice-to-Have Qualifications
  • Experience with litigation case management software and electronic court filing systems.
  • Familiarity with construction law terminology and legal workflow processes.
  • Prior experience in legal billing and time entry using Elite or comparable systems.
