Job Description
About the Role
- Collaborates with legal secretarial staff and other teams to provide designated and ad-hoc administrative services to support the delivery of exemplary service.
- Drafts letters and documents; collects and analyzes information; prepares requested documents.
- Performs general word processing tasks, including creating, editing, and proofreading practice-specific legal documents, forms, and correspondence, ensuring accuracy and completeness.
- Arranges conference calls.
- Prepares materials for mailing and overnight delivery, including printing, assembling, copying, and ensuring appropriate delivery.
- Makes conference room reservations and coordinates meals, multimedia, and other services as requested.
- Coordinates travel arrangements through the Firm’s travel department as needed.
- Assists with time note entry, including inputting, editing, proofreading, and closing them daily.
- Prepares expense reimbursements, arranges payment of invoices, and prepares check requests as required.
- Assists with the billing process, including editing prebills, generating reports, and sending out final invoices.
- Helps create and maintain client/matter lists and communication lists.
- Works with the Records Department to organize and maintain physical and electronic documents and files promptly. Creates and maintains working files and binders as requested. Uses Records Management to accurately store email messages and maintain and retrieve files.
- Utilizes Outlook to schedule appointments and calendar dates. Maintains contacts in Outlook and Salesforce.
- Assists with the organization and planning of events and the collection of marketing materials.
- Proactively follows up with secretaries for feedback on completed projects and requests for additional assignments.
- Consistently promotes and models the Firm's Client Service Principles in leadership, teamwork, work product, and personal interaction.
- Ensures compliance with the Firm's Information Handling Policy, safeguarding confidential and personal information, and reporting any suspected breaches appropriately and immediately.
- Adheres to the Firm's General Safety Practices and any unique safety practices for the department and building.
- High School Diploma required; Bachelor's degree preferred.
- Minimum of 2-year administrative experience in a law firm. Legal secretary experience a plus.
- Experience working in a professional services environment preferred.
- Strong attention to detail and organizational skills.
- Excellent teamwork skills and commitment to delivering results by assisting co-workers.
- Client service orientation and ability to communicate effectively with staff at all levels.
- Ability to multi-task, prioritize work, and meet deadlines.
- Ability to work under pressure and complete job assignments in an accurate and timely manner.
- Proficient with Windows-based software used by the firm, including MS Word, PowerPoint, Excel, Outlook and Mac Pac. Working knowledge of database, and time and attendance tracking applications.
- Typing speed of 45 wpm with high level of accuracy.
- Flexibility regarding work schedule and availability to work overtime required.
- Ability to work effectively in a team environment.
