Legal Administrative Assistant
Job Description
The Phoenix Group Advisors is conducting a search for a Legal Administrative Assistant position within a mid-sized law firm. This role provides administrative support to attorneys and paralegals, ensuring efficient legal operations and client correspondence.
The Legal Administrative Assistant manages document preparation, filing, and retrieval, maintains attorney calendars, screens communication, and facilitates billing processes. The role supports case management, coordinates meetings, and upholds confidentiality standards across legal documentation and client interactions.
• Prepare and proof legal correspondence, memoranda, and documents with high accuracy
• Manage electronic filing and document retrieval in firm’s management system
• Screen phone calls, handle client inquiries, and record messages appropriately
• Schedule and track attorney appointments and deadlines using Outlook
• Process and review legal billing, record billable time, and ensure accuracy
• Maintain client and matter files, including opening, closing, and storage review
• Coordinate conflict of interest checks and assist with file management
• Support team coverage and backup for other attorneys as needed
• 3-5 years legal administrative experience
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Windows)
• Experience with document management systems (e.g., iManage)
• Familiarity with billing platforms (e.g., Elite)
• Strong organizational and multitasking skills
• Excellent written and verbal communication skills
• Knowledge of real estate legal procedures and court rules
• Ability to transcribe legal documents at 60 WPM
• High School diploma or equivalent required

This position is responsible for supporting legal team efficiency, ensuring timely document processing and accurate billing, directly contributing to the firm’s operational success.
