Job Description
Position Summary
The Legal Administrative Assistant (LAA) provides comprehensive administrative and litigation support to attorneys, ensuring smooth day-to-day operations in a fast-paced legal environment. This role requires exceptional organization, attention to detail, and the ability to manage multiple priorities with professionalism and discretion.
Key Responsibilities

Maintain and organize both paper and electronic files, creating efficient systems as needed.

Coordinate complex travel arrangements, including international trips, and prepare related expense reports.

Support the firm’s billing process by preparing materials in a timely, accurate manner.

Manage calendars, schedule meetings, reserve conference rooms, and handle reservations.

Answer and route telephone calls professionally, relaying accurate messages promptly.

Maintain the contact management system and assist with client communications.

Accurately complete daily diaries for timekeepers.

Draft, revise, and process legal documents, correspondence, presentations, and occasional court filings using Microsoft Office tools.

Proofread all work to ensure completeness and accuracy.

Stay current on firm policies, legal procedures, and matters relevant to assigned practice areas.

Perform general office duties, ensuring a neat and organized workspace.

Handle confidential information with discretion and courtesy.

Participate in training programs and apply learned skills.
Qualifications

Minimum of two years’ litigation and administrative support experience in a law firm.

Strong proficiency in Microsoft Word, Excel, and PowerPoint; familiarity with legal document formatting.

Excellent verbal and written communication skills, client service mindset, and ability to work both independently and collaboratively.

Outstanding organizational skills, attention to detail, and ability to meet deadlines in a high-pressure environment.

Flexible availability outside standard hours and reliable on-site presence.
