Corporate Secretary Assistant

Job Description
Key Responsibilities:

Coordinate travel arrangements, maintain detailed itineraries, and prepare, submit, and reconcile expense reports; may also perform basic bookkeeping tasks such as invoice processing.

Manage monthly and periodic client billing, respond to billing-related inquiries, and collaborate closely with the accounting department.

Track and follow up on monthly attorney pre-bills after they have been routed to appropriate timekeepers for review.

Provide administrative coverage during absences of departmental legal secretaries.

Answer and route incoming phone calls, take messages, and manage incoming and outgoing emails, correspondence, memos, letters, and faxes.

Schedule appointments, manage calendars for multiple attorneys, and plan and coordinate internal and external meetings and events.

Draft, edit, and proofread documents, reports, and presentations; maintain accurate, confidential, and well-organized digital and physical filing systems.
Qualifications:

High school diploma or equivalent required.

Prior experience as an office assistant or in a comparable administrative role preferred.

Strong proficiency in Microsoft Office Suite.

Exposure to accounting software and solid mathematical skills preferred.
