Role Overview
The Billing Assistant will support the end-to-end billing operations for legal teams and departmental billing groups, ensuring accurate and timely invoice processing, adherence to billing standards, and effective communication with attorneys and clients. This role is vital in maintaining financial workflows, optimizing billing efficiency, and enhancing the firm’s profitability.

Key Responsibilities
  • Assist in preparing, reviewing, and distributing client invoices for assigned practice groups and billing partners
  • Process billing comments, revisions, disbursements, and fee adjustments in accordance with firm policies and client instructions
  • Support the approval process for draft bills, final invoices, and electronic billing (e-billing) submissions using the firm’s billing software platforms
  • Monitor and reconcile Work in Progress (WIP), aging reports, discounts, and fee arrangements to ensure billing accuracy and compliance
  • Set up new billing matters with accurate rate codes, fee arrangements, matter IDs, and billing instructions within the billing system
  • Collaborate with attorneys, billing managers, and finance teams to resolve discrepancies and streamline billing workflows
  • Generate and maintain billing reports, including projections, fee caps, fixed fee arrangements, and billing status updates for review by legal and financial teams
  • Maintain organized electronic and physical records of billing documents within the firm’s document management system (e.g., iManage or equivalent)
  • Respond promptly to partner and client inquiries related to billing issues, escalations, and resolutions
  • Assist in process improvements and system upgrades to improve billing accuracy, efficiency, and compliance with internal policies and external regulations

Core Qualifications & Requirements
  • Bachelor’s degree in Business, Accounting, Finance, or related field preferred
  • Strong organizational skills with meticulous attention to detail and accuracy
  • Proven ability to manage multiple deadlines and priorities effectively under pressure
  • Excellent communication skills, both written and verbal, with a client-service-oriented approach
  • High proficiency in Microsoft Office suite (Excel, Word, Outlook)
  • Ability to work independently in a fast-paced, team-oriented setting with minimal supervision
  • Flexibility to work outside standard hours when needed, in line with firm policies
  • Legally authorized to work without sponsorship in the country of employment
