FLSA Status:         Exempt (Non-Management)

 

Summary:   Under the supervision of the Director, Quality Assurance, the IT Project Coordinator (PC) will provide project management support for the V3 system, the V3 Version 10 Upgrade project and other related IT projects. This role will track and report on project status, escalate risks, and address issues as they arise. The PC will help maintain standards and processes, and own administrative duties for various project management tasks and deliverables on an ongoing basis.

 

Essential Duties and Responsibilities: 
  • Assist the QA Director in monitoring and tracking project progress.
  • Provide updates on project activities and milestone status.
  • Assist in preparation of key status reports for relevant project meetings. 
     (Steering Committee meeting, Departmental Stakeholder meeting, Client/Vendor touch base)
  • Coordinate and schedule key project-related meetings, both internal as well as with vendors.
  • Take and distribute meeting minutes; follow up on relevant action items.
  • Monitor activities in JIRA or other project reporting tools, perform follow-ups and escalate any concerns to QA Director.
  • Provide and streamline data reporting using JIRA dashboards, excel reports, data visualization & analytics tools, and other project reporting tools. 
  • Assist in routine project management tasks and activities such as logging and maintenance of Risk Register/RAID and Key Activity status; examine and assist in maintaining project documentation/data to ensure completeness and accuracy.
  • Manage and maintain SharePoint site (including meeting minutes, RAID logs, status reports, project permissions, wiki entries as needed.)
  • Assist in project financial and vendor invoice reviews in conjunction with QA Director.
  • Assist with documentation and buildout of project governance processes.
  • Perform tasks after hours or on weekends as needed and as required by management/supervisory staff.
  • Perform other duties or projects as assigned.

 

Qualifications:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  
  • At least three to five years of work experience coordinating projects, preferably with enterprise-wide software system and/or vendor-driven implementations.
  • Experience working within project management practices described in the PMI Project Management Body of Knowledge (PMBOK.)
  • Exceptional reporting skills, a flair for project data reporting/analytics, and the ability to streamline or automate reporting. Basic SQL skills required.
  • Ability to capture, synthesize and communicate clearly on complex project activities.
  • Experience with change control and risk management.
  • Vendor management experience.
  • Excellent MS skills including Excel, Visio, PowerPoint and MS Project, or similar project management software tools.
  • Experience using software project management tools, incident management tools and test management tools such as JIRA/Zephyr, Confluence are highly preferred.
  • Experience with collaboration tools such as MS Teams preferred.

Education and/or Experience: B.A. in Business Management, Information Technology or similar relevant field; 

Language Skills:  Speak, read, write and understand English;

Reasoning Ability:  High;

Certificates, Licenses, Registrations:  Project management certification desirable.
