Job Description
The Phoenix Group Advisors is conducting a search for an IP Legal Secretary for a law firm specializing in intellectual property. This role provides administrative support in patent prosecution, managing filings, docketing, and client communication.
The IP Legal Secretary manages patent docket reports, coordinates USPTO filings, prepares legal documents, records assignments, and handles invoice review. The role ensures accurate legal documentation, meets filing deadlines, and supports internal teams for operational efficiency.
• Monitor patent docket reports for domestic and international filings
• Coordinate with docketing team to ensure timely filings
• Prepare and file USPTO correspondence and patent documents
• Record patent assignments and maintain prosecution files
• Review prebills and invoices; update and distribute to clients
• Proofread all legal documents prior to submission
• Communicate professionally with clients, vendors, and attorneys
• Support workflow efficiency across departments
Experience: 3+ years patent prosecution, USPTO filing, docket management, foreign patent procedures.
Technical Skills: Patent workflows, docketing systems, USPTO/FPO filings, Microsoft Excel, legal software (CPA, ESTA).
Qualifications: Strong organizational skills, attention to detail, confidentiality, ability to manage multiple deadlines, proficiency in legal documentation and correspondence.
This position supports patent prosecution processes, ensuring legal compliance and operational excellence.
