Our client, a non-profit organization, is seeking an Executive Assistant/Paralegal to support their team in NYC! 

Key Responsibilities:

Project Coordination

  • Support Legal team projects by tracking tasks, identifying action items, managing follow-ups, and preparing for meetings

  • Coordinate electronic and physical contract signatures, including notarization

Legal Support

  • Maintain and update legal templates

  • Conduct legal research on local/international laws, especially for document authentication and visas

  • Travel within NYC for document certification, authentication, and apostille

  • Assist with corporate governance (e.g., draft resolutions, record minutes)

  • Organize and manage digital and physical document repositories

Administrative Support

  • Provide daily support to the General Counsel and Legal team

  • Manage vendor procurement and liaise with Finance for reimbursements, billing, and expenditure tracking

  • Draft, edit, and distribute legal communications and documents

  • Maintain calendars and coordinate travel logistics for the General Counsel


Qualifications

  • Bachelor's/Associate’s degree or Paralegal Certificate required

  • Experience as an executive assistant, legal assistant, secretary, or paralegal

  • Strong legal research and procedural knowledge

  • Exceptional attention to detail, time management, and communication skills

  • Self-starter with the ability to manage multiple priorities and meet deadlines

  • Familiarity with document authentication and apostille processes preferred

  • Proficiency in Microsoft Office 365, Zoom, DocuSign (or similar tools)

  • Notary Public license preferred

  • Russian and/or Hebrew fluency a plus

  • Passion for humanitarian or Jewish global service is highly valued
