Job Description
Our client, a non-profit organization, is seeking an Executive Assistant/Paralegal to support their team in NYC!
Key Responsibilities:
Project Coordination
-
Support Legal team projects by tracking tasks, identifying action items, managing follow-ups, and preparing for meetings

Coordinate electronic and physical contract signatures, including notarization
Legal Support

Maintain and update legal templates
-
Conduct legal research on local/international laws, especially for document authentication and visas

Travel within NYC for document certification, authentication, and apostille
-
Assist with corporate governance (e.g., draft resolutions, record minutes)

Organize and manage digital and physical document repositories
Administrative Support

Provide daily support to the General Counsel and Legal team

Manage vendor procurement and liaise with Finance for reimbursements, billing, and expenditure tracking

Draft, edit, and distribute legal communications and documents

Maintain calendars and coordinate travel logistics for the General Counsel
Qualifications
-
Bachelor's/Associate’s degree or Paralegal Certificate required
-
Experience as an executive assistant, legal assistant, secretary, or paralegal
-
Strong legal research and procedural knowledge

Exceptional attention to detail, time management, and communication skills
-
Self-starter with the ability to manage multiple priorities and meet deadlines
-
Familiarity with document authentication and apostille processes preferred

Proficiency in Microsoft Office 365, Zoom, DocuSign (or similar tools)

Notary Public license preferred

Russian and/or Hebrew fluency a plus

Passion for humanitarian or Jewish global service is highly valued
