Collections Manager
Job Description
The Collections Manager oversees the firm's client accounts receivable and debt collection processes, ensuring timely cash flow, reducing aged receivables, and fostering strong relationships with clients and internal teams. This role involves strategic collection initiatives, detailed reporting, and process improvement to support the financial health of a large professional services organization.
Role Overview
Responsible for managing and optimizing the law firm’s collections operations, including implementing collection strategies, monitoring receivables, and collaborating with attorneys, billing departments, and executive leadership to meet revenue goals.
Key Responsibilities
- Utilize specialized billing software and collections modules to develop monthly revenue forecasts, identify shortfalls, and track collection performance against financial targets.
- Schedule and lead regular meetings with billing and collections teams to review open invoices, aged receivables, and collection strategies.
- Collaborate with attorneys, billing coordinators, and clients to negotiate payment plans, settle accounts, and resolve billing disputes, ensuring compliance with firm policies.
- Proactively monitor and manage aged receivables, prioritize collection efforts, and improve cash flow through targeted initiatives.
- Review and analyze billing and payment data, including electronic billing (e-billing) audits, to identify process challenges and develop solutions.
- Communicate with clients regarding payment status, resolve invoice discrepancies, and coordinate collection activities to ensure accurate and timely payments.
- Prepare comprehensive reports and dashboards on receivables, aged debt, and collection activity for senior leadership review.
- Lead process improvement projects to optimize collections workflows, leverage data analytics, and implement best practices.
- Assist with transition and collection activities related to attorney departures or inactive matters to ensure unresolved invoices are addressed.
- Other related duties as assigned to support the firm’s revenue cycle and financial operations.
Core Qualifications & Requirements
- Bachelor’s degree in Business, Finance, Accounting, or related field.
- Minimum of 5+ years’ experience in legal collections, credit management, or accounts receivable within a large or mid-sized law firm environment.
- Advanced proficiency in Microsoft Excel (pivot tables, v-lookup), Word, and familiarity with billing and collections software, including 3E and electronic billing systems.
- Strong understanding of law firm billing cycles, fee arrangements, and client payment terms.
- Proven experience reducing aged receivables and maintaining positive relationships with attorneys and clients.
- Excellent organizational, time-management, and task prioritization skills.
- Ability to interpret complex financial data, generate actionable insights, and present reports clearly to leadership.
- Flexibility to adapt to a fast-paced, deadline-driven environment with changing priorities.

- Knowledge of legal billing audit processes and dispute resolution.
