Job Description
Responsibilities:
- Oversee the time entry process and manage the iTimekeep timekeeping program, including weekly delinquency reporting, and collaborate with the Controller on month-end reporting requirements.
- Ensure the Month-End Billing Close is completed within the specified timeframe, with support from the Controller.
- Enforce the monthly pre-bill return policy and procedures, escalating delinquent billing attorneys to the Controller when necessary.
- Process pre-bills and invoices for specific attorneys, and serve as a backup for billing specialists as needed.
- Provide billing system support and training to the billing department and timekeepers.
- Handle billing rate maintenance projects, including setting up special rate-sets, and assist the CFO and Managing Partner with the annual rate-setting process.
- Manage all aspects of the billing process for both internal and external clients, including customized, task-based, bankruptcy, and electronic invoice submissions.
- Administer time and billing orientation for new timekeepers/employees.
- Prepare and interpret various billing-related reports and spreadsheets as requested.
- Maintain confidentiality, especially when assisting with sensitive or complex issues.
- Suggest, implement, and manage processes to improve the firm's file opening, time, and billing areas.
- Address staff performance issues, both positive and improvement-oriented, throughout the year, including coaching and counseling sessions.
- Participate in the Annual Performance Review process for billing specialists and staff under this position.
- Perform other duties and special projects as assigned.
- Minimum of 3-5 years of experience in client billing and e-billing within a law firm.
- Proficient with software such as Aderant, e-Billing Hub, Bill Blast, or other similar accounting software systems is highly considered.
- A Bachelor's degree in Business Administration, Accounting, Finance, or a related field from an accredited institution is required. Associate's degree and relevant work experience is also acceptable.
- Excellent interpersonal, written, and verbal communication skills are essential.
- Proficient in accounting and billing software programs, with advanced skills in MS Office Suite.
