Job Description
We are seeking a detail-oriented Electronic Billing Specialist to join our finance operations team. This role focuses on managing the end-to-end process of submitting digital invoices to clients, ensuring compliance with both internal standards and client-specific requirements. The position is based in one of our U.S. offices—Washington, D.C., New York, Houston, or Boston—and offers the possibility of a hybrid work arrangement.
Core Responsibilities
- Serve as the primary point of contact for electronic billing matters, collaborating with attorneys, administrative teams, and client representatives.
- Maintain accurate client data within the firm’s financial systems and external billing platforms, ensuring synchronization and integrity of all records.
- Oversee invoice corrections and resubmissions, coordinating with internal stakeholders to prevent recurring issues.
- Review client billing protocols and align them with firm policies, proactively resolving discrepancies before implementation.
- Support system administration tasks such as user account management, security permissions, budget entry, and status updates across multiple e-billing tools.
- Safeguard confidential financial and proprietary information in accordance with firm standards.
- Ability to troubleshoot and test multiple e-billing applications, identifying and resolving technical challenges.
- Familiarity with LEDES billing formats and working knowledge of ASCII and XML data structures.
- Understanding of fundamental accounting principles.
Preferred Qualifications
- High school diploma required; bachelor’s degree in accounting, finance, or related discipline preferred.
- Experience with 3E Billing software and its e-invoicing module is a plus.
- At least one year of hands-on experience in billing operations or related financial processes.
