Role Overview
The Billing Coordinator will oversee the end-to-end client billing process for assigned partners and practice groups, ensuring accurate and timely invoice generation, compliance with billing standards, and effective communication with attorneys and clients. This role plays a critical part in managing the firm’s financial workflows, optimizing billing operations, and supporting firm profitability.
Key Responsibilities
- Manage all aspects of monthly client billing cycles, including preparing, reviewing, and distributing invoices to clients
- Process partner and associate comments, revisions, and disbursement adjustments in accordance with firm policies
- Coordinate and ensure approval of draft bills, finalized invoices, and e-billing submissions through the firm's electronic billing system (e-billing software)
- Monitor and reconcile Work in Progress (WIP), aging reports, discounts, and fee arrangements to maintain billing accuracy and compliance with client and firm policies
- Set up new billing matters in the system with correct rate codes, billing instructions, matter numbers, and relevant fee arrangements
- Collaborate effectively with attorneys, billing partners, and the accounts payable team to resolve discrepancies and ensure seamless billing operations
- Track and report on billing projections, fee caps, fixed fee arrangements, and billing status updates
- Draft and produce detailed billing reports and analysis for review by legal teams and management
- Maintain electronic and physical filing of billing documentation within the firm’s document management system (iManage or equivalent)
- Respond promptly to partner and client inquiries related to billing and resolve escalated issues efficiently
- Ensure compliance with internal policies, client-specific billing guidelines, and external legal billing regulations
- Assist in process improvements and system upgrades to enhance billing accuracy and efficiency
Core Qualifications & Requirements
- Minimum of 2+ years of specialized legal billing experience in a law firm or professional services environment
- Bachelor’s degree in Business, Accounting, Finance, or related field preferred
- Proven ability to deliver superior client service and build rapport with internal teams and external clients
- Strong organizational skills with excellent attention to detail and accuracy
- Demonstrated ability to manage multiple priorities and work effectively under pressure
- Critical thinking and problem-solving skills to address billing issues proactively
- Excellent written, verbal, and interpersonal communication skills
- High proficiency in Microsoft Office suite, e-billing platforms (such as Aderant, TitleTap, CounselLink), and document management systems (e.g., iManage)
- Ability to work independently in a fast-paced, team-oriented environment with minimal supervision
- Flexibility to work outside standard business hours as required, adhering to the firm’s Agile Working Policy
- Legally authorized to work in the United States without sponsorship
Nice-to-Have Qualifications
- Experience with international billing and multi-currency invoicing
- Familiarity with legal accounting systems and WIP management tools
- Knowledge of legal billing regulations and global client billing standards
