Job Description

Possess knowledge of California and Federal court systems, including processes and procedures.

Experience with electronic filing in both State and Federal courts.

Familiarity with USPTO searches and downloading patents and file histories.

Ability to conduct searches on PACER.

Perform administrative tasks such as processing expense reports, handling phone calls, scheduling meetings, coordinating travel arrangements, and managing calendars.

Actively manage attorney/paralegal billable time by inputting data into the Firm’s system.

Collaborate with Document Support or utilize related software to prepare, revise, and format legal documents, spreadsheets, presentations, and other materials, ensuring consistency and accuracy.

Provide high-quality client service by responding professionally to internal and external inquiries.

Work effectively as part of a team.

Maintain paper and electronic files in compliance with Firm policies.

Prepare new client engagement letters, conduct conflicts checks, and manage the client intake process, including tracking new client/matter numbers.

Be receptive to constructive feedback and training.

Actively engage in training opportunities to enhance skills and efficiency in Firm software.

Coordinate with internal departments, such as Finance, Records, Office Services, and Document Support, to ensure top-tier client service.

Take on additional responsibilities as needed.

This role requires 80% in-office presence, with 20% remote work permitted.

Education & Experience: Bachelor’s degree required; 5+ years of administrative experience in a legal or professional services environment preferred.
