Job Description
Administrative Support Specialist
The Administrative Support Specialist is responsible for providing front desk reception, administrative, and facilities support in a legal office environment.
Responsibilities

Answer incoming phone calls.

Greet clients and visitors professionally.

Act as a witness during document signings, as needed.

Prepare outgoing mail, including labels for FedEx, UPS, and USPS.

Receive, sort, and distribute incoming mail.

Deliver documents to the courthouse and post office, as needed.

Assist with document scanning and recordkeeping (both electronic and paper files).

Provide support for file and records management, as needed.
-
Offer administrative support, including preparation of client correspondence and documents.

Manage logistics for meetings and office functions (e.g., food orders, setup, and cleanup).

Monitor and maintain office supply inventory; responsible for stocking and placing supply orders.

Act as the Facilities Lead, handling communication and coordination for all facility-related needs.
Qualifications
-
High school diploma or GED required.

Experience in the legal industry preferred.

Proficiency in Microsoft Office, Excel, Outlook; experience with iManage preferred (training available).

Strong organization skills and attention to detail.

Ability to manage time effectively, prioritize tasks, and multitask.

Excellent verbal and written communication skills.
-
Team player with the ability to work effectively in a small office environment and collaborative culture.

Willingness to work overtime when requested.
Compensation & Benefits

Salary: $45,000 – $55,000 (dependent upon experience)

Status: Non-exempt; eligible for overtime

Paid Time Off (PTO): 25 days per calendar year

Work Week: 40 hours
