Job Description
Key Responsibilities:

Client Service: Handle phone calls by taking accurate messages, providing information, referring calls, or holding them for team members. Ensure timely and professional communication with clients and team members, even when they are out of the office. Manage voicemail messages and coordinate conference calls.

Document Preparation: Draft and format error-free legal documents, pleadings, and correspondence from dictation, tapes, or handwritten drafts. Compile, type, revise, edit, and store documents based on instructions from supervisors or document requesters. Ensure correct formatting, including spacing, margins, type size, style, and color, using word processing software. Proofread and edit documents for spelling, grammar, punctuation, and overall format. File documents and emails in the firm’s electronic document system and distribute correspondence through scanning, PDF, email, or hard copy. Compile and type statistical reports as needed. Proficiency in advanced Microsoft Word functions and a typing speed of 60 wpm required. Ability to quickly learn new software is essential.

Time Entry/Billing: Enter team members' time entries daily. Open new client and/or matter numbers, conduct conflict checks, and manage billing tasks such as prebill selection, adjustments, and special client requests. Handle client checks and prepare audit reports. Serve as a liaison with the Accounting Department regarding past-due receivables.

Scheduling: Arrange appointments, including meetings, conferences, court dates, and depositions for team members. Prioritize and coordinate workflow to meet deadlines. Manage travel arrangements and reservations, and handle conference room bookings, special equipment needs, and catering services.

Mail Management: Prioritize and route incoming mail, prepare outgoing mail and packages, and coordinate messenger pickups and deliveries using the postage-metering machine, scale, and Federal Express Power ship.

Filing: Maintain and organize files according to firm guidelines, including client files, court filings, and case materials. Ensure quick retrieval of information and general document control. Close files and send them to storage in accordance with firm policy.
Qualifications:
- 5 years of experience working in Litigation
- Bachelor's Degree preferred, or equivalent work experience.
- Required litigation experience in a large law firm environment.
- Proficiency in e-filing with various U.S. Federal District Courts, including under-seal documents.
